A failed combi oven on a Friday night is not the moment to start working out who to call. The engineers who look after commercial kitchens are a smaller, more specialised group than the domestic appliance trade, and the difference between the right firm and the wrong one shows up in downtime, repeat visits and, where gas is involved, safety. This guide sets out how to choose a commercial catering engineer before you need one, and what to check when you do.
Commercial is not domestic
The single most common mistake is hiring a domestic appliance engineer for commercial equipment. A domestic gas engineer is not qualified to work on commercial catering appliances, and a general refrigeration contractor may never have opened a Rational combi or a Winterhalter warewasher. Commercial kitchen equipment runs harder, is plumbed and wired differently, and carries its own service procedures. When you shortlist firms, confirm they work on commercial catering equipment specifically, not “appliances” in general.
The qualifications that actually matter
Three credentials do most of the work when you are separating a real commercial engineer from someone who is out of their depth.
- Gas Safe registration, with commercial catering categories. Any engineer working on gas appliances in the UK must be on the Gas Safe Register, that is the law. But Gas Safe registration is not one blanket qualification. Commercial catering gas work needs the relevant commercial categories (the COMCAT range for catering appliances, plus core commercial competencies such as CODNCO1). Ask for the engineer’s Gas Safe registration number and check it on the public register; the record shows which categories they hold.
- F-Gas / REFCOM for refrigeration. Anyone handling fluorinated refrigerant gases, the gases inside your fridges, freezers, cold rooms and ice machines, must hold F-Gas certification, and reputable firms are on the REFCOM register. This is both a legal requirement and a sign the firm handles refrigerant responsibly rather than venting it.
- Manufacturer or trade recognition. Membership of trade bodies such as CESA or CEDA, or manufacturer service accreditation for the brands you run, signals that a firm invests in training. It is not a legal requirement, but it is a useful tie-breaker.

Match the engineer to your equipment
Commercial kitchens are brand-heavy environments. A firm that services Rational and Falcon ovens all day may not carry parts or training for Hoshizaki ice machines or Meiko warewashers. Before you commit, check that the engineer routinely works on your equipment, the specific brands and the specific categories (combi ovens, warewashers, refrigeration, fryers, extraction, gas interlock, ice machines). An engineer who knows your kit fixes it on the first visit more often, and first-visit fix rate is what actually keeps your kitchen open.
Understand response times and coverage
“Emergency” means different things to different firms. Clarify three things up front:
- Coverage. Does the firm actually cover your postcode, and is that coverage in-house or subcontracted? A 40-mile radius on paper is not the same as an engineer who can be with you in two hours.
- Response commitment. Same-day, next-day, or genuine 24/7 emergency callout? Get the commitment in plain terms, and ask what “same-day” means if you call at 4pm.
- Out-of-hours cover. Hotels, care homes and late-service restaurants need to know there is a real out-of-hours line, not a voicemail that is checked on Monday.
How callout charges and pricing work
Commercial repair pricing is more predictable than many operators expect, but it pays to understand the structure:
- A callout / diagnostic charge is common, often around £120 for a basic diagnosis and small repairs. Some firms waive it if the repair proceeds; ask.
- Routine servicing typically starts from around £156 plus VAT per appliance, depending on type and location.
- A realistic average repair lands in the £200 to £350 range once parts and labour are counted.
- Larger failures: a combi oven control board, a compressor on a walk-in, can run £400 to £800 or more.
None of these are quotes; they are the shape of the market. Get any significant repair quoted before work starts, and ask whether parts are covered by a manufacturer warranty you might already hold.
Planned maintenance beats emergency repair
The cheapest breakdown is the one that never happens. Planned preventative maintenance (PPM), scheduled service visits that descale combis, calibrate warewasher dosing and check refrigeration and gas systems, costs less over a year than reacting to failures, and it spreads cost predictably. If you run more than one site, a single PPM schedule across every kitchen is almost always the better commercial decision. A short checklist before you hire
- Do they work on commercial catering equipment, not domestic appliances?
- Are they Gas Safe registered with the right commercial categories?
- Do they hold F-Gas / REFCOM for refrigeration work?
- Do they service your specific brands and equipment?
- Is their coverage and response time real for your location?
- Is pricing, callout, labour, parts, transparent and quoted?
- Can they offer a PPM contract, not just reactive callouts?
Work through that list with two or three firms before you have an emergency, and keep the best one’s number where your team can find it. When something does fail mid-service, you will be glad you did the homework in daylight.
